Eligibility
Refunds apply to fees paid for professional engagements listed on this site — plant quality walkthroughs, shift briefings, quality record reviews, and advisory retainers — subject to the conditions below and any engagement letter.
Timeframe
Refund requests should be emailed to hello@nodematrixbase.click within 14 days of the event that triggers eligibility (for example, a cancellation we confirm in writing).
Full refund
A full refund of amounts paid is available if we cancel an engagement for reasons within our control and cannot offer a mutually acceptable new date within 30 days.
Partial refund
If you cancel a walkthrough more than 14 days before the first reserved plant day, we refund amounts paid minus a 15% administrative fee. Cancellations between 7 and 14 days before the first day forfeit 50% of the deposit. Inside 7 days, deposits are non-refundable unless we successfully rebook the same dates with another client.
Non-refundable items
Pre-agreed travel bookings already purchased for an on-site visit, and work already delivered (completed briefings, issued written findings, completed record reviews), are non-refundable.
Work already started
Once a remote record review or on-site walkthrough day has begun, fees for completed portions remain payable. Unused future days may be rescheduled once within 90 days or refunded pro rata at our discretion when we caused the interruption.
Deposits
Walkthrough deposits secure plant dates. Advisory retainers billed monthly in advance are refundable only for unused full months when notice is given at least 15 days before the next billing date.
Rescheduling
You may reschedule an on-site engagement once without fee if notice arrives at least 10 days before the first reserved day and new dates fall within 90 days. Further reschedules may incur a THB 3,000 administration charge.
No-shows
If plant access is not provided on a reserved day without 48 hours’ notice, that day is treated as delivered for billing purposes.
Refund process and method
Approved refunds are returned to the original payment method within 14 business days of approval. Bank transfer refunds inside Thailand may take additional clearing time depending on your bank.
